What was the challenge at Roole before Youzer?
For a long time, Roole managed its onboarding and offboarding processes using manual procedures and then in-house PowerShell scripts. While this approach seemed practical at first, it quickly proved unsustainable in the long run.
Packages were updated frequently, scripts became obsolete, and without anyone dedicated to maintaining them, errors piled up. The result: accounts created incorrectly, groups forgotten upon arrival, and worse still, access rights not revoked when employees left.

Managing user permissions was also a challenge. In the absence of clearly defined roles, the team had gotten into the habit of duplicating existing accounts for new hires. While this practice seemed effective, it actually led to the over-assignment of permissions: an employee might end up with access rights unrelated to their actual responsibilities, simply because they had the same job title as someone else.

What benefits have been observed since adopting Youzer?
The benefits are numerous and extend to both security and productivity. As soon as it was implemented, Youzer helped identify oversights that had gone unnoticed: licenses still active for employees who had left months ago, permissions that had never been revoked. For tools not yet connected to Youzer—such as certain AI tools whose licenses represent a significant monthly cost—these blind spots remain, underscoring the importance of expanding the connectors.
From a security standpoint, access management is now based on the employee’s actual role—no more rough account duplication. Each person is granted exactly the right access upon joining, and has it revoked at the appropriate time upon leaving.
